    • 📍 Office-based in either Newport or Blackwood, with flexibility for hybrid working following training.
    • 📅 Permanent   
    • 🕒 Full Time, 37 hours per week, Monday – Friday
    • 💷 Salary £24,408 - £26,770 per Annum, Depending on Experience

    🎯The Role:

    As Administrator, you will undertake a varied and interesting role, combining internal operational support and external stakeholder engagement. Working as part of the Corporate Team, you will proactively liaise with colleagues to the ensure smooth and efficient day to day operations. Based in either their Newport or Blackwood offices, or spending time with both, you will provide administrative support in respect to Finance and Funding, HR and Training. You will support the delivery of a Grants programme to the voluntary sector, by promoting grant schemes, recording and verifying applications, collating reports and monitoring information for funders. You will also proactively engage with external partners, providing support to grant panels and being a point of contact for enquiries and programme delivery. Within the organisation, you will be instrumental in maintaining accurate records across internal platforms, ensuring employee compliance in respect to Health & Safety and mandatory training compliance.

     

    📋Responsibilities:

    Grant Administration:

    • Receive grant applications, record and verify information, organise grant panels and communicate with recipients.
    • Maintain and prepare reports on CRM and Grant Fund Trackers.
    • Liaise with and provide reports for funding bodies.

    Stakeholder Engagement:

    • Receive and process external enquiries from community and partner organisations via phone and email, taking ownership of each enquiry and either responding to or transferring as appropriate.  
    • Support community groups and external partners to complete monitoring, visiting projects across Gwent as required.

    Operational Support:

    • Accurately maintain the membership database.
    • Coordinate mandatory training courses for colleagues.
    • Administer the Health & Safety software platform in respect to Risk Assessments, Display Screen Equipment Assessments, Safeguarding, Fire Safety and First Aid.
    • Maintain Records Management and Retention System in line with General Data Protection Regulations, supporting the response to external data requests.
    • Provide administrative and practical support to meetings and events, as needed.
    • Source and order office supplies, raising purchase orders in line with procurement policy.
    • Undertake other administrative tasks in support of internal colleagues and external stakeholders.

     

    🎓 Skills, Experience & Qualifications:

    Essential:

    • Proficient in Microsoft Office, including Excel, Word, Outlook and Teams.
    • Possesses a good level of Education including GCSEs, A Level’s / BTEC or qualified by equivalent experience.
    • Demonstrates strong communication and interpersonal skills.
    • Confident interacting with internal and external stakeholders, including colleagues, the public, partnership organisations and suppliers.
    • Able to manage a varied workload whilst maintaining exacting attention to detail.
    • Committed to providing a premium level of customer care.
    • Organised and flexible with the ability to adapt to change.
    • Understands the importance of confidentiality.
    • Works successfully as part of a team as well as on own initiative.
    • Inherently passionate about supporting the community and voluntary sector.
    • Ambitious to pursue a long-term career within this arena.

    Desirable:

    • Understanding of the third and not-for-profit sector.
    • Emergency First Aid at Work qualification.
    • Full driving licence and access to a vehicle.
    • Ability to communicate in Welsh.
