The Role:
The Finance and Support Officer will play a key role in ensuring the smooth day-to-day running of the office by providing high-quality financial administration and operational assistance. You will support financial administration, effective governance, and the delivery of projects and events across the organisation.
This role is office-based and does not include hybrid or home working. However, flexibility is offered in how the 30 hours are allocated across the working week, subject to operational needs.
Responsibilities:
Finance and Bookkeeping:
- Undertake basic finance duties using the organisation’s Xero bookkeeping system.
- Prepare bills for payment and ensure timely processing.
- Raise, send and proactively chase invoices.
- Reconcile bank and control accounts to meet deadlines.
- Produce financial and budgetary reports as requested.
- Maintain accurate financial records to support audits and reporting.
- Support compliance with internal financial procedures.
Administrative and Organisational Support:
- Act as first point of contact via phone and generic email inboxes.
- Provide administrative support including minute/note taking at working group or partners meetings.
- Manage office housekeeping and stationery supplies.
- Organise meetings including venues, catering and RSVPs.
- Provide administrative and financial support to the delivery of projects and events.
- Record project data on internal CRM system.
Stakeholder Engagement:
- Build and maintain effective working relationships with members, suppliers and stakeholders.
- Provide a professional, welcoming service that reflects organisational values.
Skills, Experience & Qualifications:
Essential
- Experience in an administrative or finance support role.
- Confidence working with financial data and systems.
- Strong organisational and time-management skills.
- High level of accuracy and attention to detail.
- Excellent written English and communication skills.
- Computer literate and adaptable to new systems.
- Highly organised and detail orientated.
- Proactive, reliable and self-motivated.
- Confident and professional.
- Comfortable working independently and as part of a small team.
Desirable
- Working knowledge of Xero or similar bookkeeping software
- Experience in a not-for-profit, membership or project-based environment
- Understanding of basic financial governance
- Ability to communicate in Welsh
